Stage-Aware Outreach
The Contact menu on every lead card pre-fills emails, SMS, and WhatsApp messages tailored to where the lead is in your pipeline.
Stage-Aware Outreach
When you click Contact on any lead's pipeline card, you get a submenu of native-intent outreach actions — Gmail, Outlook, Mail.app, SMS, WhatsApp, dial. Each one opens the appropriate client with the subject line and body pre-filled and tailored to the lead's current pipeline stage.
A lead who just booked a call gets a "looking forward to chatting" message. A no-show gets a "missed you, want to reschedule?" message. A won deal gets a "welcome on board" follow-up. You don't pick the template — Aura picks it based on the stage.
Where to find it
On any lead in the pipeline:
- Hover over the card.
- Click the ••• menu in the top-right.
- Click Contact.
- Pick the channel.
The Contact menu only appears if the lead has at least an email or a phone number on file. If they have neither, the menu hides itself rather than show an empty entry.
What you'll see in the submenu
The channels available depend on what contact info the lead has:
| Lead has | Channels available |
|---|---|
| Email only | Mail, Gmail, Outlook |
| Phone only | SMS, WhatsApp, Call |
| Both | All six |
The exact templates
These are the literal strings Aura inserts into your client's compose window. Variables ({name}, {link}, {org}) are filled from the lead, the booking link associated with the lead, and your organization.
If the lead's full name isn't on file, {name} falls back to "there". If the booking link doesn't have a title, the link-specific phrasing falls back to the unlinked variant.
| Stage (pipeline column) | Subject | Body opener |
|---|---|---|
interested / qualified ("new") | Re: {link} (or Following up from {org} if no link, or Following up) | Hey {name}, saw you were looking at {link} — want me to grab you a time? |
booked / confirmed ("upcoming") | Re: {link} — quick prep? | Hey {name}, looking forward to our {link} call. Anything you want me to prep? |
no_show ("missed") | Missed you — {link} | Hey {name}, missed you on the {link} call. Want to grab another time? |
cancelled | Re: {link} | Hey {name}, saw the {link} call got cancelled. Want me to find a new time? |
attended ("post_call") | Re: our {link} call | Hey {name}, thanks for hopping on our {link} call. Any questions I can answer? |
follow_up | Re: our {link} call | Hey {name}, circling back on our {link} conversation — got a minute this week? |
won | Welcome | Hey {name}, great to have you on board. Let me know how I can help. |
SMS and WhatsApp
The body text matches the email body above — the same per-stage opener, no subject (SMS/WhatsApp don't have subjects). You can edit before sending; the prefill is a starting point, not a constraint.
lost and disqualified are intentionally not pre-filled
Aura deliberately ships no canned template for these two stages:
lost: re-engaging a closed-lost lead needs situation-specific copy that only the rep knows — sending "saw you were looking at X" months later, or "circling back," reads as automated and damages the relationship.disqualified: these leads failed a DQ rule on intake. They shouldn't be re-contacted.
For both, the Contact submenu still appears, but you get bare email / SMS links with no subject or body filled in. Write from scratch.
Customizing templates
The templates are English-only and not yet customizable per organization. The code accepts a locale field on every call (so callers can already thread lead.language through), but the templates ignore it today. Translation work + per-org customization are tracked separately.
In the meantime: every prefilled message is a draft starter, not a constraint. The client window opens with your cursor in the body — edit freely before sending.
Why native-intent links instead of an in-app composer
Aura doesn't try to be your email client. The Contact submenu opens your Gmail tab, your Outlook compose window, your SMS app — whatever you already use. Your sent items live where they always do; threading and replies happen in your existing tools; no separate inbox to monitor.
The tradeoff: Aura doesn't see the reply. If you want to track outreach centrally, manually log the touchpoint as a note on the lead's detail page after you send.
