Managing Leads

Effectively managing your pipeline means more than viewing leads—it's about taking action, staying organized, and maintaining accurate data. This guide covers bulk operations, filtering, and best practices for pipeline management.

Filtering Leads

Quick Filters

Access quick filters at the top of the pipeline:

Advanced Filters

Click Filters for more options:

  • Custom Fields: Filter by question responses
  • Has Call: Leads with/without scheduled calls
  • Outcome: Won, Lost, No outcome
  • Created Date: Date lead was created
  • Last Activity: Date of last interaction

Saving Filter Presets

  1. Configure your filters
  2. Click Save Filter
  3. Name your preset
  4. Access from filter dropdown

Example Presets:

  • "My Hot Leads" - Qualified + This Week
  • "Needs Follow-up" - Attended + No outcome + 7+ days
  • "Lost This Month" - Lost + This Month

Bulk Actions

Selecting Multiple Leads

  1. Checkbox select: Click checkbox on each card
  2. Shift-click: Select a range
  3. Select All: Choose all visible leads

Available Bulk Actions

Bulk Stage Change

  1. Select leads
  2. Click Change Stage
  3. Select target stage
  4. Add note (optional)
  5. Confirm

Bulk stage changes are logged but may skip validation. Use carefully.

Bulk Assignment

  1. Select leads
  2. Click Assign
  3. Choose team member
  4. Confirm assignment

All selected leads are reassigned, and calendar events updated if applicable.


Exporting Leads

Quick Export

  1. Filter to desired leads
  2. Click Export
  3. Choose format (CSV)
  4. Download file

Export Fields

Exported data includes:

Archiving Leads

Archive leads you want to keep but remove from active view.

When to Archive

  • Old leads with no activity
  • Completed deals (after follow-up period)
  • Leads that requested not to be contacted
  • Duplicates you want to preserve

How to Archive

Single lead:

  1. Open lead details
  2. Click Archive
  3. Confirm

Bulk archive:

  1. Select leads
  2. Click Archive
  3. Confirm

Viewing Archived Leads

  1. Click Filters
  2. Enable Show Archived
  3. Archived leads appear with indicator

Unarchiving

  1. Find archived lead
  2. Open details
  3. Click Unarchive
  4. Lead returns to active pipeline

Deleting Leads

Permanent deletion removes all lead data.

When to Delete

  • Test data
  • Spam/invalid leads
  • GDPR/data deletion requests

How to Delete

Single lead:

  1. Open lead details
  2. Click Delete
  3. Confirm (cannot be undone)

Bulk delete:

  1. Select leads
  2. Click Delete
  3. Type "DELETE" to confirm

Deletion is permanent. Associated calls, notes, and history are also removed.

Data Retention Compliance

For data requests:

  1. Export lead data first
  2. Provide to requester if needed
  3. Delete after confirmation
  4. Log the deletion

Pipeline Organization

Keeping Pipeline Clean

Daily:

  • Review new leads
  • Update stages after calls
  • Add notes to active leads

Weekly:

  • Review stuck leads
  • Clean up old cancelled bookings
  • Archive completed deals
  • Check for missing outcomes

Monthly:

  • Audit pipeline accuracy
  • Review archived leads
  • Analyze stage distribution
  • Update filter presets

Pipeline Hygiene Rules

  1. No lead should be stuck: Define max time per stage
  2. Every call needs an outcome: Close the loop
  3. Notes provide context: Future you will thank you
  4. Stages should be accurate: No "default" positioning

Lead Naming

Ensure consistent lead data:

  • Full names (not "Test" or "asdf")
  • Valid emails (check for typos)
  • Formatted phone numbers

Stage Discipline

  • Move leads promptly
  • Don't skip stages without reason
