Everything starts when a prospect visits your booking link.

What Happens:

  1. Visitor sees your availability (synced from Google Calendar or Outlook)
  2. They select a time slot that works for both parties
  3. Custom questions collect qualifying information
  4. Disqualification rules filter out poor-fit leads automatically

Data Captured:

  • Name, email, phone
  • Custom question responses
  • UTM parameters (source, medium, campaign)
  • Referring URL
  • Timezone

Stage 2: Lead Creation

Once someone completes the booking, they become a lead in your pipeline.

Automatic Actions:

  • Lead record created with all booking data
  • Calendar invite sent to both parties
  • Video conferencing link generated (Google Meet or Microsoft Teams)
  • Lead appears in your Pipeline view

Pipeline Stages:

Interested → Qualified → Scheduled → Attended → Closed

Stage 3: The Call

When the meeting time arrives, Aura's AI Notetaker joins automatically.

During the Call:

  • Notetaker joins the video conference
  • Records audio and video
  • Generates real-time transcript
  • Captures participant information

After the Call:

  • Recording uploaded to secure storage
  • Transcript processed and timestamped
  • AI analysis begins

Stage 4: AI Analysis

Aura's AI scores every recorded call against the 7-stage framework.

Stage 5: Outcome Recording

After the call, mark the outcome to keep your pipeline accurate.

Outcome Options:

  • Closed Won: Deal closed, optionally record cash collected
  • Lost: Deal lost, capture loss reason
  • No Show: Prospect didn't attend
  • Rescheduled: New time booked

Stage 6: Analytics

All this data flows into comprehensive dashboards.
