Availability
Configure when prospects can book meetings with you
Availability
Availability settings determine when prospects can book time with you. Aura combines your configured hours with your calendar to show only truly available slots.
How Availability Works
Aura calculates available slots using this formula:
Available Slots = Weekly Hours
− Calendar Events (busy)
− Buffer Time
− Advance Notice
− Already Booked SlotsExample
If you set availability as Monday 9am-5pm:
- You have a meeting 10-11am → That slot is blocked
- 15-minute buffer after meetings → 11-11:15am is blocked
- 1-hour advance notice → Slots in the next hour are blocked
- Someone books 2-2:30pm → That slot is now taken
Result: Prospects see 9-10am, 11:15am-2pm, 2:30-5pm (minus advance notice).
Configuring Weekly Hours
Setting Available Hours
- Open your booking link settings
- Navigate to the Availability tab
- For each day, set your available hours
Per-Day Configuration
| Setting | Description |
|---|---|
| Enabled | Whether this day accepts bookings |
| Start Time | When availability begins |
| End Time | When availability ends |
| Breaks | Block out specific times (e.g., lunch) |
Multiple Time Blocks
You can set multiple availability windows per day:
Monday:
09:00 - 12:00 (Morning block)
13:00 - 17:00 (Afternoon block)This automatically blocks 12-1pm for lunch.
Copy Schedule
Quickly apply the same hours to multiple days:
- Configure one day
- Click Copy to other days
- Select which days to update
Buffer Time
Buffers create gaps between meetings for preparation, notes, or breaks.
Buffer Types
| Type | Description | Use Case |
|---|---|---|
| Buffer Before | Gap before this meeting | Preparation time |
| Buffer After | Gap after this meeting | Note-taking, travel |
Setting Buffers
- In booking link settings, find Buffer Time
- Set minutes for before and/or after
- Save changes
Buffer Examples
15-minute buffer after:
- Meeting ends at 2:00pm
- Next available slot is 2:15pm
15-minute buffer before and after:
- Meeting at 2:00pm
- 1:45-2:00pm is blocked (buffer before)
- 2:30-2:45pm is blocked (buffer after)
Advance Notice
Advance notice prevents last-minute bookings, giving you time to prepare.
Configuration
Set the minimum time between when someone books and when the meeting occurs:
| Notice Period | Best For |
|---|---|
| 30 minutes | Very responsive, urgent availability |
| 1 hour | Default, good balance |
| 4 hours | Preparation needed |
| 24 hours | Complex meetings, travel required |
| 48+ hours | High-touch sales, extensive prep |
How It Works
If advance notice is 4 hours:
- Current time: 10:00am
- Earliest bookable slot: 2:00pm today
Slots before 2:00pm are hidden from the booking page.
Maximum Booking Window
Control how far in the future people can book.
Configuration
Set the maximum days ahead:
| Window | Best For |
|---|---|
| 7 days | High-demand, limited availability |
| 14 days | Balances urgency and flexibility |
| 30 days | Standard professional setting |
| 60 days | Default, generous window |
| 90+ days | Long sales cycles |
How It Works
If max days is 30:
- Today: January 15
- Latest bookable date: February 14
Dates beyond February 14 are not shown.
Start Time Increment
Control the granularity of available time slots.
Options
| Increment | Slot Examples | Best For |
|---|---|---|
| 15 minutes | 9:00, 9:15, 9:30, 9:45 | Most flexible |
| 30 minutes | 9:00, 9:30, 10:00 | Balanced (default) |
| 60 minutes | 9:00, 10:00, 11:00 | Simplest calendar |
Considerations
Smaller increments = more options for prospects but busier-looking calendar.
Timezone Handling
Aura handles timezones automatically to prevent confusion.
How It Works
- You set availability in your timezone
- Prospects see slots in their detected timezone
- Calendar events are created with correct times for both parties
Timezone Detection
For prospects, Aura:
- Detects browser timezone
- Allows manual timezone selection
- Displays all times in their local timezone
Your Settings
Your availability is always in your account timezone:
- Go to Settings → Profile
- Set your timezone
- All availability reflects this timezone
Calendar Integration
Your connected calendar directly affects availability.
What Blocks Availability
| Event Type | Blocks Availability? |
|---|---|
| Events marked Busy | ✅ Yes |
| Events you created | ✅ Yes |
| Events you accepted | ✅ Yes |
| Events marked Free | ❌ No |
| Declined invites | ❌ No |
| Tentative events | ⚙️ Configurable |
Multiple Calendars
If you have multiple calendars in your account:
- Primary calendar events always block
- Secondary calendars can be included/excluded
- Configure in Settings → Calendar
All-Day Events
By default, all-day events block the entire day. Options:
- Mark all-day events as Free in your calendar
- Or use Aura's setting to ignore all-day events
Date-Specific Overrides
Override your regular schedule for specific dates.
Adding Overrides
- In availability settings, click Date Overrides
- Select a date
- Choose:
- Available: Custom hours for this date
- Unavailable: Block the entire day
Common Uses
| Override | Example |
|---|---|
| Vacation | Block Dec 24-Jan 1 |
| Conference | Block specific days |
| Special availability | Add Saturday for one week |
| Holiday | Block company holidays |
Override Priority
Date overrides take precedence over weekly schedule.
Default vs Link-Specific Availability
Organization Defaults
Set defaults that apply to all new booking links:
- Go to Settings → Availability
- Configure default hours
- New links inherit these settings
Link Overrides
Each booking link can have its own availability:
- Edit the specific link
- Customize availability settings
- These override organization defaults
Use Cases
| Scenario | Approach |
|---|---|
| Same hours for all links | Use organization defaults |
| Different hours per link | Override per link |
| One link needs weekends | Override just that link |
Best Practices
For Solo Sellers
- Set realistic hours (don't over-commit)
- Add buffer time for notes (15 min)
- Use advance notice to prevent same-day chaos
For Teams
- Align availability across team members
- Use round-robin to distribute load
- Consider coverage during vacation
For Different Meeting Types
| Meeting Type | Recommended Settings |
|---|---|
| Quick intro | 15 min, short buffer, low advance notice |
| Discovery | 30 min, 15 min buffer, 4+ hour notice |
| Demo | 45-60 min, 15-30 min buffer, 24 hour notice |
Troubleshooting
"No available times shown"
- Check weekly hours are set
- Verify calendar is connected and syncing
- Check advance notice isn't too long
- Verify max booking window includes near-term dates

- Verify your timezone setting
- Check calendar timezone matches
- Clear browser cache and refresh
