Add team members, assign their roles, and get them set up

Invite Team

Aura works for solo users and for whole teams. If you've got a sales team, this is how you add them. The team page is Teams in the sidebar (not under Settings).

Roles

There are three roles. Pick the one that matches what each person should be able to do.

OwnerEverything an Admin can do, plus managing billing and deleting the organization. Usually the founder or sales leader who pays the bill.
AdminFull access to org settings, members, all leads and calls across the team. No billing, can't delete the org.
MemberManage their own booking links, leads, and calls. Limited visibility into other people's data.

Sending an invite

Step 1: Open Teams

Click Teams in the sidebar.

Step 2: Send the invite

  1. Click Invite Member.
  2. Type their work email and pick their role.
  3. Optionally, pre-assign them to existing round-robin booking links — they'll start getting their share of bookings as soon as they finish setup.
  4. Click Send Invite.

We email them an invite link. It's valid for 7 days. If they don't accept in time, you can resend from the same screen.

Step 3: What they do when they get the invite

  1. They click the link in the email.
  2. They sign up (or sign in, if they already have an Aura account).
  3. They land on the onboarding screen and connect their own calendar.
  4. They're in.

Even though they're joining your team, every person has to connect their own calendar. You can't do it for them. This is the same rule that applies to admins.


Managing the team

See everyone

The Teams page shows every member, with:

  • Their role
  • Whether their calendar is connected
  • When they were last active
  • Which invitations are still pending

Change a role

  1. Find the person.
  2. Open the role dropdown next to their name.
  3. Pick a new role.

Change is immediate.

You need at least one Owner. If you're leaving the organization and you're the only Owner, promote someone else first.

Remove a member

  1. Find them in the list.
  2. Open their menu and click Remove.
  3. Confirm.

When you remove someone:

  • They lose access immediately.
  • Their booking links get disabled (so no new bookings come in for them).
  • Existing scheduled meetings keep happening — we don't cancel anything that's already on the books.
  • Their leads stay in the system and can be reassigned to someone else.
  • Their recorded calls stay accessible to admins.

Resend or cancel an invite

Pending invitations have Resend and Cancel buttons on their row.


Team features

Round-robin

Spread incoming bookings across your team:

  1. Open any booking link.
  2. Enable Round-Robin in the host section.
  3. Pick which team members are in the pool.

We distribute bookings across the pool based on who's available and who's least booked recently.

Team-wide analytics

If you're an Owner or Admin, you can see analytics for the whole team — per-rep 7-stage scores, attribution by closer, objection patterns. Members only see their own.

Shared pipeline view

Admins can filter the pipeline by which closer is assigned, so it's easy to coach individuals or see the full team in one view.


Onboarding a new team member

A pattern that works well:

When someone leaves

A checklist:

  1. Reassign their active leads to someone else.
  2. Look at their pending bookings — decide whether to honor them or cancel.
  3. Disable their personal booking links.
  4. Remove them from Teams.
  5. Double-check the audit trail to make sure their access is actually gone.

Troubleshooting

"They didn't get the invite." Check spam, double-check the email address you typed, then resend.

"They can't accept the link." Use the most recent invite (we send a fresh one every time you resend). Try an incognito window.

"They joined but can't host calls yet." They need to finish their own onboarding and connect their calendar. Send them to /onboarding.

"I changed their role but it's not taking effect." Have them sign out and sign back in — their role is cached and refreshes on next login.
