How to connect Google Calendar or Microsoft Outlook, and what to do when it stops working

Connect Calendar

Aura needs to read your calendar to know when you're free, and write to it when someone books a meeting. We support both Google Calendar and Microsoft Outlook. Calendar connection is per-person — every member of your team has to do this themselves.

Connecting for the first time

This happens during onboarding, right after you pick a plan. You'll land on the onboarding screen — click Connect Google or Connect Microsoft, sign in on the popup, and approve the permissions.

What permissions we ask for

Google asks you to approve:

  • View your calendar events (so we can see when you're free)
  • Create and edit events (so we can add meetings when people book you)
  • View your calendar settings (so we can detect your timezone)

Microsoft asks you to approve:

  • Read your calendars
  • Read and write your calendars
  • Read your name and timezone

That's it. We don't read your email, your contacts, or anything else — just calendars.

What if I have a personal Microsoft account?

When you sign in with Microsoft, we automatically detect if it's a work/school account or a personal one. Personal accounts (@outlook.com, @hotmail.com, etc.) don't include Teams, so we can't auto-generate Teams meeting links. The fix is to connect Zoom and use that for video instead.

Reconnecting if something breaks

Sometimes a connection stops working — maybe you changed your password, maybe you revoked Aura's access from Google or Microsoft's settings, maybe it's just been a while. When that happens, Aura will show you a banner that says "Reconnect required."

To fix it:

  1. Go to Settings → Connections.
  2. Find your calendar and click Reconnect.
  3. Sign in again and approve the same permissions.

You won't lose any of your bookings or data — just the live sync is paused until you reconnect.

How "busy" gets calculated

Once you're connected, we figure out when people can book you like this:

Your available hours (set in your booking link)
  minus
Anything on your calendar marked "busy"
  minus
Buffer time and minimum advance notice you've configured
  equals
What people see as available

What blocks your availability

  • Events marked Busy
  • Events you created or accepted
  • All-day events (unless they're marked Free)
  • Buffer windows you've configured (e.g. 15 minutes before/after each meeting)

What doesn't block your availability

  • Events marked Free
  • Invitations you've declined
  • Tentative events (you can change this in your availability settings)
  • Events on calendars you haven't connected to Aura

Per-person, not per-team

If your team is using Aura, this trips people up: the admin connecting their calendar doesn't help anyone else. Every team member has to log in and connect their own calendar before they can host calls. There's no admin override for this.

The reason: we used to have org-wide connections, and it caused chaos when the original connector left the company — suddenly nobody's bookings worked. Per-person makes things stable.

Switching from Google to Microsoft (or vice versa)

  1. Settings → Connections → disconnect your current calendar.
  2. Click Connect on the other provider.
  3. Sign in.

Your existing bookings stay where they were — they don't migrate. New bookings go to the new calendar.

Privacy

What we read:

  • Event times (start and end)
  • Busy/free status
  • Calendar ID

What we don't read:

  • Event titles
  • Event descriptions
  • Other attendees
  • Attachments

You can revoke our access anytime directly in Google or Microsoft's account settings, and we stop reading immediately.

Troubleshooting

"Calendar's not syncing." Token probably expired. Go to Settings → Connections → Reconnect.

"I can't see my own availability." Check your booking link's availability settings — you may not have any open hours configured.

"Teams links aren't generating." Either your Microsoft account is personal (use Zoom instead), or your IT admin has restricted third-party app permissions. Talk to them.

"OAuth keeps redirecting me in a loop." Try a private/incognito window, or clear cookies for aura-app.ai.
