Add consent boxes to your booking form, and tell Aura what each box is for

Privacy & consent

You can add your own consent boxes to every booking form. For example, a box to agree to reminder texts, or to offers by email. Aura saves each answer with the exact words the person saw and the time they chose.

Each box can also have a type. The type tells Aura what the box is for. Aura then sends one answer per type to your CRM and your other tools. Your team can see who agreed to each kind of message without reading each box's wording.

Only admins can change these settings.

Find the settings

  1. Go to Settings, then Branding.
  2. Find Privacy & consent.

Here you can set your own privacy policy link and add up to 5 consent boxes. A box marked as required must be ticked before someone can book.

Choose what each box is for

Each box has a field called What is this box for? Pick one of these types:

TypeWhat it means
Booking textsReminders and follow-ups about their call
Marketing textsOffers and promotions by text. Aura passes this to your tools. Aura doesn't send marketing.
Marketing emailsOffers and newsletters by email. Aura passes this to your tools.
Data useAgreeing to your privacy policy
OtherAura saves the answer but doesn't use it

After you pick a type, you see Not saved yet. Select Save changes to keep this type. Select Save changes at the bottom of the page.

A new box has no type until you choose one.

Boxes that need a type

A box with no type counts as Other. Aura still saves its answers, but doesn't send them by type.

When some boxes have no type, a note at the top of your boxes says how many. For example: 2 boxes need a type. It goes away once every box has a type.

"Looks like" and Confirm

Aura reads each box's wording and may guess its type. The guess shows as a tag, such as Looks like: Marketing texts, with a Confirm button beside it.

  • Select Confirm to use that type. Then select Save changes.
  • Or pick a different type from the list.

The guess is only a suggestion. Aura never saves it on its own. A box keeps counting as Other until you confirm or pick a type and save.

Aura only guesses when the wording plainly asks one thing. A box that asks two things at once, like agreeing to your privacy policy and to promo texts, gets no guess. Choose its type yourself.

When you change a box's wording

Changing a box's words or links clears its type, so an old type never sticks to a new question. You see This box's wording changed. Confirm its type again to keep it. Select Confirm, or pick a new type, before you save.

One box per type

Each type can be used by only one box. Other is the exception: any number of boxes can be Other.

If you choose a type that another box already has, Aura won't save. You see: You already have a Marketing texts box. Use one box per type, or choose Other.

Why Booking texts is sometimes greyed out

If you send booking texts through Aura, your booking page already shows Aura's own box for appointment texts. That box is the only thing that lets Aura text someone. So while it shows on any of your schedulers, you can't make one of your boxes a Booking texts box too.

You see Aura already asks for booking texts on your booking page. Choose another type, or remove the box.

In this case, Booking texts in your CRM and tools comes from Aura's own box. See SMS Notifications.

What happens to the answers

Each type gets one answer for each lead: Yes, No or Not asked.

  • Yes means the person ticked the box. For texts, it counts only for the phone number they gave when they ticked it.
  • No means they left the box unticked, or agreed and later took it back.
  • Not asked means Aura has no answer of that type from them. For example, the form they filled in had no box of that type. Treat it like a no.

A person who replies STOP to an Aura text gets No for Booking texts when their booking page shows Aura's box for appointment texts. If they reply START, it goes back to Yes.

Aura sends these answers to:

Aura passes the answers on. It doesn't stop your team from sending a text or email from your own tools. Check the answer before you send.

Changing a type later

An answer keeps the type the box had when the person answered. If you change a box's type later, earlier answers keep the old type. Answers given before the box had a type count as Other.

Aura's own box for appointment texts is separate. You don't set a type for it. Aura's data-processing box is separate too, and doesn't count as Data use.
