Connect HubSpot, choose the deal stages Aura uses, and control what syncs

HubSpot

Connect HubSpot to keep contacts and deals current after every Aura booking and sales call.

Aura uses the HubSpot pipelines and stages you already have. It does not create, rename, or delete your pipeline setup.

HubSpot is in early access while its Marketplace listing is under review. Open HubSpot from Aura's Integrations page and select Request early access. We will confirm a place before you connect.

Connect HubSpot

You must be an Aura organization admin.

  1. In Aura, go to Settings, then Integrations.
  2. Open HubSpot and select Connect HubSpot.
  3. Sign in to HubSpot and choose the right account.
  4. Review the permissions. During early access, HubSpot also asks you to confirm that you accept the risk of installing an unverified app.
  5. Approve access for Aura.
  6. Back in Aura, choose the pipeline and stages for booked, won, and lost calls.

Aura will not create deals until the pipeline mapping is complete.

For most teams:

  1. Leave Leads and contacts on.
  2. Leave Booked calls on.
  3. Leave Won and lost outcomes on.
  4. Leave AI summary notes on if your team wants the call summary in HubSpot.
  5. Leave Contact updates from HubSpot on.
  6. Choose the exact booked, won, and lost stages your team already uses.

HubSpot deal stages are custom. Aura asks for Booked, Won, and Lost so it can follow your existing pipeline without creating or renaming anything. Other Aura lifecycle events do not move the HubSpot deal.

Aura stores the HubSpot IDs it receives. A retry searches for the exact Aura call marker before creating a deal or note, which prevents duplicates after a timeout or interrupted save.

What Aura preserves

  • Aura does not move unrelated HubSpot deals.
  • Aura does not delete HubSpot records.
  • Aura does not create or rename pipelines or stages.
  • Aura does not push a HubSpot contact edit straight back to HubSpot.
  • Disconnecting leaves all records already written to HubSpot in place.

Test environment

HubSpot developer accounts include test accounts. Aura uses a dedicated test account for staging checks, including OAuth, token refresh, contact and deal writes, notes, webhooks, and disconnect and reconnect.

Troubleshooting

Why does HubSpot call Aura an unverified app?

HubSpot shows this warning while Aura's Marketplace listing is under review. Confirm that the app name is Aura and review the requested permissions before continuing. The warning disappears after HubSpot approves the listing.

Why do I see Request early access instead of Connect HubSpot?

Aura enables early access one organization at a time. Select Request early access and include your Aura organization name. We will confirm a place before enabling the connection.

My pipeline or stage is missing

Select Sync now on the HubSpot integration page. Aura reloads the current pipelines and stages from HubSpot.

A deal was not created

Check that Booked calls is on and that all three pipeline mappings are selected. Aura skips placeholder form records and creates deals only for genuine bookings.

The connection is invalid

Select Reconnect and approve HubSpot access again. Your Aura sync settings stay saved.

What happens when I disconnect?

Aura removes its stored HubSpot credentials and stops all new sync activity. Existing HubSpot contacts, deals, and notes stay in HubSpot.
