Answers to common HubSpot problems

Troubleshooting

Start with the top of the HubSpot page in Aura. If you see a red or yellow notice, fix that first. See Warnings and how to fix them.

My leads are not showing up in HubSpot

Check these in order:

  1. Is Lead capture on? Open the Default sync tab. Every switch starts off.
  2. Does the lead have an email? Aura finds people by email. A lead with no email is skipped.
  3. Is the lead new? New switches only work on new leads. To send older ones, use Send past leads and calls.
  4. Are HubSpot data privacy settings on? Then HubSpot refuses new contacts. See Data privacy settings in HubSpot.
  5. Is the tag Needs reconnect? Select Reconnect HubSpot.
  6. Are you looking at the right HubSpot account? Check HubSpot account under Connection.

Wait a minute after the lead comes in. Aura sends updates in the background.

There is a contact, but no deal

  1. Is a stage mapped? Aura makes a deal only for a column with a stage. Open Pipeline mapping. For a booked call, pick a Booked Call stage.
  2. Is the right switch on? For a booked call, turn on Call booking. Or set Pipeline stages to Move the stages I mapped.
  3. Is Pipeline stages set to Don't move any stages? Then Aura makes no deals.
  4. Is a pipeline chosen and saved? Select Save stage mapping after you pick stages.
  5. Did the stage get deleted in HubSpot? Select Refresh HubSpot settings. Then pick the stage again.

Deals are in the wrong stage

  • Check the mapping. Open Pipeline mapping. Make sure each column points to the stage you expect.
  • Check the switch. With Each switch decides, a result stage like Won only moves when Won / lost outcome is on.
  • The column was not mapped. An unmapped column leaves the deal where it was.
  • Your team moved it by hand. Aura does not see that. It moves the deal again the next time the lead moves in Aura.
  • It came from a history sync. Aura does not change the stage of an old deal it linked. It moves it at the call's next result.
  • You changed the mapping. A new mapping only affects what happens next. It does not move deals already in HubSpot.

Aura always uses where the lead is now in Aura. Look at the lead on the Opportunities board. The deal should match that column.

Two deals for one call

Aura makes one deal per booked call. It marks each deal so it never makes a second one for the same call. If you see two, check these:

  • Another tool is still running. A Zap or HubSpot workflow may also make deals. Turn it off once Aura works.
  • The person booked twice. Each booking gets its own deal. This is on purpose.
  • A deal was made by hand. Aura does not know about deals your team makes by hand, unless a history sync linked it.
  • Someone deleted the aura_call_id or aura_call_identity field in HubSpot. Aura uses these to find its deals. Don't delete them.

If none of these explain it, contact support. Share the person's email and the call date.

The wrong owner

  • Aura never changes an owner that is already set. If the contact or deal had an owner first, Aura keeps it.
  • Check Owner mapping. Make sure each closer points to the right HubSpot user. Then select Save owners.
  • Check the closer's email. If you did not pick a user, Aura matches by email. The emails in Aura and HubSpot must be the same.
  • Look for a Removed tag. That user left HubSpot. Pick someone else.
  • A deal made before a booking can only take the fallback owner. It has no closer yet.
  • Contacts and meetings never take the fallback owner. Only deals do.

Changing Owner mapping does not change records that already have an owner.

I see Reconnect HubSpot

Aura can't do its job until you reconnect. This can happen when:

  • Someone removed the Aura app in HubSpot.
  • HubSpot stopped accepting Aura's access for another reason.
  • Aura needs a new permission that your link does not have yet.

Select Reconnect HubSpot and approve Aura. Your settings stay. See Reconnect or disconnect.

The AI summary note is missing

  • Turn on AI-summary note. It works on its own.
  • The AI review of the call must be done. Aura adds the note when it is ready.
  • If Lead capture is off, Aura only adds notes to people already in HubSpot.

Booking answers are not in HubSpot

  • Open Field mapping. Map All booking answers or the questions you want.
  • Call booking must be on. Mapped fields are sent with the booked call's deal.
  • Fields are only sent for calls booked after you map them.
  • An empty answer never clears a HubSpot field.

Edits in HubSpot are not showing in Aura

  • Turn on Contact edits.
  • Only phone and company change in Aura. A name change shows next to the Aura name.
  • The contact must be linked to a lead in Aura.
  • Deal changes never come back to Aura. Save call results in Aura.

I can't find HubSpot in Aura

Only admins see Integrations in the menu. Ask an admin on your team.
