Before you start
What you need in Aura and in HubSpot before you connect
Before you start
Check these things first. It takes a few minutes and saves time later.
In Aura
- You must be an admin. Only admins see Integrations in the menu. Only admins can connect HubSpot or change its settings.
- Your leads need an email. Aura finds people in HubSpot by email. A lead with no email is not sent to HubSpot.
In HubSpot
- You must be allowed to install apps. HubSpot asks you to approve Aura. In HubSpot, Super Admins can do this. So can users with the App Marketplace Access permission. Anyone else can send a request to a Super Admin.
- You need at least one deal pipeline. Aura uses the pipelines and stages you already have. It does not make new ones.
- You need room for three new deal fields. Aura adds three fields to deals (see below). Some HubSpot plans allow only a few custom fields. The free plan has a small limit. If your account is full, Aura can't make deals.
One HubSpot account per Aura team
You connect one HubSpot account to one Aura organization. You can't connect the same HubSpot account to two Aura organizations. If you try, Aura asks you to disconnect it from the other one first.
What Aura asks HubSpot to let it do
When you connect, HubSpot shows a list of things Aura wants to do. In plain words, Aura asks to:
- See and change your contacts.
- See and change your deals.
- See your HubSpot users, so it can pick owners.
- See your fields, and add new ones.
Aura adds fields only when it needs them. It adds three fields to deals: aura_call_identity, aura_call_id and aura_lead_id. Aura uses them to find the deals it made. Don't delete them. Aura also adds a field when you ask for one on the Field mapping tab.
If you use Zapier or another tool today
Keep your Zaps on for now. First, turn on Aura and check a few test bookings in HubSpot. Then turn off the Zaps that do the same job. If both run, you may get two deals for one call.
If HubSpot data privacy settings are on
Some HubSpot accounts turn on data privacy (GDPR) settings. Then HubSpot says no to new contacts from Aura. Read Data privacy settings in HubSpot before you connect.
