Data privacy settings in HubSpot

Data privacy settings in HubSpot
Some HubSpot accounts turn on data privacy settings. Many teams do this for GDPR. GDPR is a privacy law in Europe.
With these settings on, HubSpot needs a "legal basis" on each new contact. A legal basis is the reason you may keep a person's data. If a new contact has none, HubSpot says no and the lead does not reach HubSpot.
Check if this affects you
In HubSpot, open Settings, then Privacy & Consent. Under GDPR & regional settings, look at Data privacy settings. If it is on, choose a legal basis in Aura.
Aura also tells you. If HubSpot turns away new leads, the HubSpot page shows HubSpot is turning away your new leads, and the HubSpot card on the Integrations page shows Action needed.
Choose a legal basis
- In Aura, open Integrations, then HubSpot.
- On Default sync, find Legal basis for new contacts.
- Pick the reason that fits your business.
- Select Save legal basis. You see Legal basis saved.
Aura adds this reason to every new contact it creates. Contacts already in HubSpot do not change.
| Reason | When it fits |
|---|---|
| Legitimate interest - Lead | They asked to talk to you about buying. Common for people who book a sales call. |
| Performance of a contract | You need their details to give them something they signed up for. |
| Legitimate interest - Customer | They already buy from you. |
| Legitimate interest - Other | Another business reason your company has written down. |
| Not applicable | Data privacy laws don't cover these people. HubSpot then gives them no privacy protection. |
| Don't send one | Your HubSpot account has data privacy settings off. |
Not sure which one fits? Ask whoever handles privacy at your company.
When a lead ticks your Data use box
Your booking form can have a consent box for data use. In Aura, give that box the type Data use.
When a lead ticks it, Aura sends Freely given consent from contact for that lead. Aura only sends it when the tick is on record. Everyone else gets the reason you chose.
Send the leads HubSpot turned away
Leads that HubSpot turned away before you chose a reason are still not in HubSpot. You can send them again:
- When you save a legal basis, keep Send the leads HubSpot turned away ticked.
- Or select Send Them Again on the notice.
The page shows how many have reached HubSpot so far. You can leave the page while it runs.
This sends leads through Lead capture. Turn it on first if it is off.
